Write a thank-you email after an interview with AI
Turn your interview notes into a short, specific thank-you email for each interviewer in about 10 minutes, without sounding like a template.
Why it works
A thank-you email is a small chance to remind the interviewer of one thing you discussed and why you fit. Generic ones get skimmed. AI is fast at drafting a short note, but only you know what was actually said, so the prompts below start from your own notes and keep every detail true.
Step by step
Write down what happened while it's fresh.
I just finished a job interview. Ask me one question at a time to capture: the role and company, each interviewer's name and title, 1 or 2 specific things each person talked about (a project, a problem, a question they asked), anything I wish I'd answered better, and any next steps they mentioned. Then summarize my notes per interviewer.
Draft one email per interviewer.
Using my notes, write a thank-you email for each interviewer, under 130 words each. Include: a subject line, a thank-you that mentions one specific thing we discussed with that person, one sentence connecting that topic to something I've actually done, and a short close that looks forward to next steps. Don't repeat the same sentences across emails, don't invent anything, and leave [brackets] for any fact I didn't give you.
Fill in the [brackets] with your details before you send.
Fix a weak answer (optional).
In the interview I gave a weak answer to: [QUESTION]. Here's what I said: [SUMMARY]. Add one or two sentences to the email for [INTERVIEWER] that briefly adds what I should have said, using only this real example: [EXAMPLE]. Keep it confident, not apologetic.
Fill in the [brackets] with your details before you send.
Check it before you send.
Review these emails as a busy hiring manager. Point out anything generic, too long, overly flattering or that sounds AI-written, and check that names, titles and the company name are used consistently. Then give me the final versions.
Replace anything in [BRACKETS] with your details. Works with most AI chat assistants. The ChatGPT and Claude buttons open a new chat with the prompt already typed in, and you press send. Gemini doesn't accept pre-filled links, so its button copies the prompt for you to paste. For steps 2 and later, paste into the same chat you started so the AI keeps the context.

Tips and cautions
- Send it within about a day of the interview, while the conversation is fresh.
- Double-check every name, title and the company name yourself; AI mixes these up.
- Keep each email short. One specific detail beats a paragraph of enthusiasm.
- Don't paste confidential details the company shared with you into an AI tool.
FAQ
Should I send a thank-you email after an interview?
It's a common courtesy and rarely hurts. A short, specific note can remind the interviewer of your conversation, especially when several candidates are close.
Should each interviewer get a different email?
Yes, if you have their email addresses. Mention something specific you discussed with each person; interviewers sometimes compare notes, so identical emails look copied.
Is it okay to use AI to write a thank-you email?
Yes, as long as every detail is true and it sounds like you. Start from your own notes, keep it short and edit the wording before you send.
